Privacy and terms
Clubkin is an AI practice coach for school clubs, being tested with a small group of families and coaches. This page says, plainly, what it keeps and who can see it.
Who runs it
Clubkin · admin@clubkin.app. Write any time to ask what's kept about a child, or to have it all deleted.
What is kept on the server
- The account: a username, a name if one was given, and which coach the student belongs to — or, in a school, the student's class and clubs.
- The student's practice: their card and ratings, sessions done, scores, the coach's written feedback (which may quote a sentence they said), and speeches or pieces they wrote in the app.
- Transcripts — the words of each speech, as text. These are deleted after 30 days.
- Assignments their coach set, and any feedback they chose to send. A screenshot is sent only if they attach one to their feedback; screenshots are deleted after 30 days.
- The parent or guardian's name and the date they agreed to this page.
- Counts of how the app is used and what goes wrong — which steps are opened, which features fail — never anything a child said or wrote. These are kept 90 days, then only daily totals remain.
Signing in
The sign-in page can ask Cloudflare Turnstile to check that a person is signing in, not a program guessing passwords. It looks at the browser, not at who is using it, and isn't used for advertising.
What is never kept
- Recordings. The audio of a speech stays on the device and is never stored on the server.
- Video. When the camera is used for body language, it is measured on the device; no picture or video leaves it.
- Photos with faces are never sent to the AI.
Who can see it
The student, their own coach, and the person who runs Clubkin. Nobody else. It is not sold, shared or used for advertising.
In a school: each school's records are kept apart from every other school's. A teacher sees a student's practice only in the clubs they teach. The school's admins see the account — name, class, clubs, whether a parent has agreed, when they last practised — and simple counts, but not what the student said. The person who runs Clubkin sees each school's numbers, not its children's practice; if a school leaves, they can hand it its accounts and progress (sessions done, scores and dates — never anything a child said or wrote). When a student leaves and the school archives them, their records are deleted 90 days later.
The AI
To coach a speech, the recording is turned into words by Groq or Google, and the words go to Google's AI (Gemini, on Google Cloud) to write the feedback. Google's AI also makes the app's voice, reads a photographed assignment, and searches the web when preparing an assignment. Google Cloud doesn't use any of this to train its models. These companies process each request and send back the answer; Clubkin doesn't send them the child's name, and keeps no recordings.
Deleting it
A coach can remove a student, which deletes their records. Or write to the address above and everything will be deleted.
